<p>Work Location In Person - Full Time UNIC Beirut Expected duration 3 mos to 6 mos max Duties and Responsibilities The global network of United Nations Information Centres (UNICs) is part of the Department of Global Communications. It is key to the Organization's ability to reach the peoples of the world and to share the United Nations story with them in their own languages. These centres, working in coordination with the UN system, reach out to the media and educational institutions, engage in partnerships with governments, local civil society organizations and the private sector, and maintain libraries and electronic information resources. Just as UNICs are the principal sources of information about the United Nations system in the countries where they are located, they are also responsible for promoting greater public understanding of and support for the aims and activities of the United Nations by disseminating information on the work of the Organization to people everywhere. This position is located in the United Nations Information Centre (UNIC) in Beirut, within the Information Centres Service (ICS), Department of Global Communication (DGC). The duration of the internship is three (3) months with possibility of extension for another three (3) additional months for a maximum period of six (6) months. The internship is UNPAID and full-time or part-time depending on academic obligations, to commence as soon as possible. Interns work five days per week (35 hours) as full-time interns or three days per week (21 hours) as part-time interns, under the supervision of the Outreach Assistant and other office staff. This internship is designed to be in person but may be flexible. Remote work modalities can be offered on a case-by-case basis. Daily responsibilities will depend on the individual's background, assigned office, as well as internship period. <p><br></p><p>Job Overview The Senior Administration and Logistics Officer is responsible for the effective day-to-day administration and operational support of Anera Lebanon's Beirut office and for providing administrative and logistical support to programs and support departments. The position oversees and coordinates office facilities, logistics and movements, fleet, assets, inventory and supplies, administrative vendors, office events, and administrative support services. The role also supervises the Administration Assistant and cleaners/support staff, as applicable. The Senior Administration and Logistics Officer works closely with the Supply Chain Manager and coordinates with Operations, Security, Procurement, Finance, Programs, HR, and other departments to ensure that administrative and logistical services are delivered efficiently, timely, and in accordance with Anera policies, procedures, and operational requirements. The position requires strong organizational and coordination skills, attention to detail, sound judgment, problem-solving ability, initiative, and the capacity to manage multiple priorities. The role is expected to proactively identify administrative and operational needs, maintain accurate records and trackers, and provide regular reporting to the line manager.</p><p>Key Responsibilities</p><p>1. Office Administration and Facilities Management</p><ul><li>Oversee the day-to-day administrative and operational readiness of the Beirut office.</li><li>Ensure the office environment is organized, professional, clean, safe, functional, and ready to receive staff, partners, donors, and visitors.</li><li>Coordinate office maintenance, repairs, utilities, equipment servicing, cleaning, waste management, pest control, and other facilities-related requirements.</li><li>Conduct regular checks of office facilities and identify maintenance, safety, or operational issues requiring attention.</li><li>Coordinate with landlords, building management, maintenance providers, utilities providers, and other service providers.</li><li>Follow up on maintenance requests from identification through completion and ensure appropriate documentation is maintained.</li><li>Ensure meeting rooms, common areas, reception areas, storage spaces, kitchen areas, and other workspaces are properly maintained and equipped.</li><li>Support office moves, seating arrangements, workspace planning, storage organization, and other office changes as required.</li><li>Maintain an office administration and facilities tracker covering maintenance requests, office issues, service providers, and pending actions.</li><li>Escalate significant facilities, safety, or operational issues to the Supply Chain / Operations Manager and relevant departments.</li></ul><p>2. <p><br></p><p>Job Overview The Executive Assistant to the Country Director provides high-level executive, coordination, correspondence, scheduling, and logistical support to the Country Director and functional support to the Director of Operations and Director of Programs. The position is responsible for managing the Country Director's calendar and priorities, coordinating meetings and executive documentation, monitoring and following up on priority correspondence and action points, preparing meeting notes and follow-up summaries, supporting senior visitors and delegations, and coordinating travel and executive-level events. The position requires a high level of confidentiality, discretion, judgment, initiative, attention to detail, and professionalism, given its access to sensitive information related to senior leadership, organizational matters, staff, partners, visitors, travel, and other confidential business matters. As the position reports directly to the Country Director, the Country Director's priorities, requests, and assignments take precedence . The position will provide functional support to the Director of Operations and Director of Programs as required, while maintaining clear communication and coordination with the Country Director. The role works closely with the Senior Administration Officer, Operations, Procurement, Finance, Security, and other relevant departments to ensure that executive support and travel-related requirements are delivered efficiently and in accordance with Anera policies and procedures.</p><p>Key Responsibilities</p><p>1. Ensure timely setup, required approvals, and risk/compliance clearances by coordinating with Engagement Teams, Growth, Finance, Legal, and Risk/Compliance. Track progress, resolve blockers, and escalate issues to enable compliant delivery.</p>
<h4>Key responsibilities</h4>
<ul>
<li>Run onboarding requests end-to-end (documents, approvals, closure).</li>
<li>Coordinate required clearances (conflicts, business relationships, acceptance/retention, legal, unlimited liability, working-at-risk, DRB).</li>
<li>Track WINs and code openings; maintain daily trackers and provide status updates to leadership.</li>
<li>Monitor SLAs/aging, follow up on delays, and drive faster turnaround.</li>
<li>Support lifecycle tasks (archive closed codes; escalate items >45 days to QRM; flag pricing sheet issues).</li>
<li>Manage stakeholders and remove blockers across teams.</li>
<li>Handle ad hoc operational support as needed.</li>
</ul>
<h4>Skills & tools</h4>
<ul>
<li>Strong Excel/PowerPoint/Outlook; accurate tracking and reporting.</li>
<li>Experience with onboarding/workflow tools (e.g., SRM or similar).</li>
<li>Ability to validate setup requirements and compliance documentation.</li>
<li>Basic analytics (turnaround time, trends, operational metrics).</li>
<li>Detail-oriented, organized, and able to manage multiple requests.</li>
<li>Clear communicator; confident escalating with context and actions.</li>
<li>(Manager) Coach juniors and manage workload/quality.</li>

<h4>Qualifications & experience</h4>
<ul>
<li>Preferred background: Business, Finance, Risk/Compliance, Computer Science (or equivalent experience).</li>
<li>Experience levels: Associate 0–2 yrs | Experienced Associate 2–4 yrs | Senior Associate 4–6 yrs | Manager 6–8+ yrs.</li>
</ul>

<li>Client/engagement onboarding or similar operations.</li>
