Assist with matters related to the cost estimator currently being developed within CMS; 4. Assist entering data in e-APG pertaining to interpreters that are in the roster and who are hired to service at meetings and events; 5. Assiss in the preparation of the preliminary list and annotation of agenda items; 6. Prepare the list of participants, as necessary; 7. Prepare and organize sets of official documentation and reference material, and distribute them in the conference room; 8. Prepare invitations to participants to attend meetings/conferences; 9. Escort participants to the conference room, upon request; 10. Distribute texts of speeches and conference room papers to the podium, interpreters and précis-writers, and delegations or participants in the meeting room; 11. Distribute stationery supplies in the conference room; 12. Assist relevant officials/participants and delegates in the meeting room on meeting-related matters; 13. Assist in the coordination with the interpreters and the sound technician; 14. Assist the Chair on the needs of the podium, as needed; 15. Assist in the coordination for coffee breaks, as needed; 16. Assist the information desk, as needed; 17. Distribute bottles of water during intergovernmental meetings, or as requested; 18. Perform general office management functions as required; 19. Assist in the management and coordination of the ASMEs 2026; 20. Prepare the conference room the day before the meetings takes place, including: a. Type the name and title of each participant on the nameplate template; b. Print each nameplate and insert them on holders; c. Carry the holders to the conference room; d. Retrieve, distribute and/or set up nameplates for meetings on an urgent basis; f. Set up the meeting room; g. <br>We are looking for a friendly, professional, and well-presented Hostess to join our team.

<br>Responsibilities
<br>- Welcome and warmly greet guests upon arrival.
<br>- Manage guest seating and reservations efficiently.
<br>- Escort guests to their tables and provide menus when needed.
<br>- Answer guests’ questions and provide information about the restaurant.
<br>- Coordinate with the service team to ensure a smooth guest experience.
<br>- Handle guest requests and assist in resolving any concerns professionally.
<br>- Maintain a welcoming and organized reception area.
<br>- Support the team with other front-of-house duties when required.

<br>- Previous experience as a Hostess or in a customer-facing role is preferred.

Role Summary:
<br>
<br>The Hostess is the first and last person to interact with arriving and leaving restaurant guests.
<br>
<br>Main Responsibilities:
<br>
<br>• Make sure that the hostess desk is organized and ready for operation (telephone, reservation system, etc.).
<br>• Answer and greet the calling guest in a lively tone mentioning clearly the name of the restaurant.
<br>• Ask for the name of reservation, date of reservation, type of reserved area (indoor or outdoor), number of persons and telephone number, and enter all guest information on the reservation system.
<br>• Make sure whoever calls first for reservation has the priority and whoever comes first is served first. In case any interference by Owners, the Floor and the Hostesses should be informed before 1 hour of guest arrival to set the new layout.
<br>• Inform Owners of Top VIP reservations (Minister, Prime Minister, etc.).
<br>• Call the guest for confirmation on their reservation during Sundays, holidays and peak hours.
<br>• Call the guest for confirmation of arrival in case guest exceeds the time of arrival 30 minutes from his/her reservation (especially during Sundays, holidays and peak hours).
<br>• Greet guests with a smile as they arrive the restaurant and ask them about their reservation.
<br>• Check reservation and table number on the reservation system.
<br>• In case of walk-in guest and there is availability in restaurant, the hostess should ask guest of preferred seating (depending on availability).
<br>• In case of walk-in guest and no availability in restaurant, the hostess should register properly the name of the walk-in guest, number of persons and telephone number, and seat him politely in the waiting area.
<br>• Ask guest about coat help during winter and give the guest locker ticket number.
<br>• Ask guest if he/she likes to choose the fish first or escort him/her to the table and then choose the fish.
<br>• Introduce the guest to his server.
<br>
<br>• Upon the guest leaving the restaurant, hostess should thank the guest for his/her visit with a smile, offer him/her candies and bit him/her a farewell.
<br>• Maintain detailed knowledge of menu and set menus.
<br>• Report any customer complaint (food or service) to the Floor Manager/Assistant Floor Manager/Team Leader on a daily basis.
<br>• Always inform Floor Manager/Assistant Floor Manager/Team Leader when leaving the floor during working hours for any reason.
<br>• Maintain high personal appearance and hygiene standards (hair well kept and groomed; . light and natural make-up; light colors polish; uniform clean, ironed and well-maintained; rocky black shoes)
